Position Objective

Based on YFU USA's mission and goals, this position serves as the on-site support and point-of-contact for the Travel Operation and Systems Coordinator and is the primary on-site lead for all seasonal airport staff members. Maintain a YFU USA presence at designated gateway airports to assist international students.

Essential Functions

  • Designated lead at gateway airport, to provide a point of contact for all seasonal airport staff members, including Cash Advance Disbursement activities, Staffing/Scheduling, Hiring Package Follow-up, etc.
  • Support Travel Operation and Systems Coordinator in all aspects of managing a smooth operation at designated gateway airport and be the lead in directing and communicating to all airport staff members.
  • Maintain a YFU presence at designated gateway airport to assist YFU students and provide a point of contact at the airport for the Travel Operation and Systems Coordinator, Seasonal Travel Assistance Coordinator, and YFU.
  • Review and monitor flight manifests, recaps, and all other related YFU documents to keep a firm grasp of student movements at designated gateway airports for the day.
  • Request and obtain travel security clearance whenever required to gain access to the airport gates at designated gateway airport, which may require security clearance and brief same day training, conducted by airport facility.
  • Respond, identify, and assist in all "distressed calls" received from Travel Operation and Systems Coordinator and Seasonal Travel Assistance Coordinator, which may include non-routine and non-scheduled Travel Assistance requests.
  • Solve and minimize risk to student and YFU, by adhering to the YFU policies and procedures whenever addressing and intervening during a "distressed" situation where Travel Assistance is required and requested.
  • Respond to problems which may include lost luggage, missed connecting flights, lost travel documents, INS and Custom problems, etc., all requiring extensive follow-up with vendors/suppliers at airport and YFU HQ, all under strict time line requirement.
  • Uphold and maintain a consistent and diligent communication schedule with Travel Operation and Systems Coordinator, Seasonal Travel Assistance Coordinator, and Seasonal Airport Staff, maintaining 24-hour availability at all times.
  • Integral part of the "Overnight Stay-Host Program" and "Travel Irregularity Program"– scheduled overnight/unscheduled overnight, which requires an airport staff to stay in a hotel with student and enable students to arrive to their final destination next day.
  • Exercise great care and detailed due diligence at all times, while managing the student arrival activity at gateway airport.
  • Responsible for managing and tracking all expense disbursement activities if required, e.g. cash advance management, receipt/expense reimbursement filing, etc. in conjunction with Seasonal Travel Assistance Coordinator and Travel Operation and Systems Coordinator.

Marginal Functions

  • Attend and participate in group and staff meetings and conferences as required.
  • Wear YFU Uniform (T-shirt), carry YFU Bag, keep a YFU Mobile phone, and other tools as required to be properly equipped and visible and to carry out job assignment.
  • Other duties as assigned.

  • Strong aptitude to make sound business judgments at all times and exercise reasonable care of duty.
  • Ability to make sound judgments to involve Travel Operation and Systems Coordinator, Seasonal Travel Assistance Coordinator, and other senior YFU staff members for any major decision with major impacts to students and YFU organization.
  • Tolerance for high volume of requests and inquiries, often last minute, and ability to work under extreme pressure during peak travel cycle and emergency call coverage.
  • Ability to work on-call and during travel season with changing schedules, including evenings, early mornings, weekends, holidays, and overnight (Travel Irregularity Program).
  • Strong, professional demeanor and aptitude to remain cool in challenging and demanding situation.
  • Flexibility, dependability, and reliability are essential.

Physical Requirements

  • Standing for sustained periods of time; extensive walking; hearing; talking; and fingering.
